Administrative and Office Specialist II

Virginia State University is an Executive Level Branch agency.  In accordance with Governor Ralph Northam’s mandate, by Article V, Sections 1 and 7 of the Constitution of Virginia, and by §2.2-103 of the Code of Virginia all Executive Branch Employees and state contractors who enter the workplace or who have public-facing work duties must disclose their vaccine status to the designated agency personnel.  Executive Branch Employees who are not fully vaccinated or who refuse to disclose their current vaccine status must undergo weekly COVID-19 testing and disclose weekly the results of those tests to the designated agency personnel.  

DUTIES AND RESPONSIBILITIES

Virginia State University invites applications for an Administrative Assistant in the Student Accessibility Office. This position will Ensure compliance with applicable laws and statutes governing the Student Accessibility Office program, and provide administrative support services within the office by completing tasks to include: generating reports, letters and forms, editing material, PowerPoint presentations, filing of sensitive documents, and maintaining confidentiality. Maintain budget reports through Banner and Excel, process personnel action forms and Kronos, order supplies and maintain inventories. Provide procurement tasks and generate eVA executions. Serve as welcoming staff for all visitors to the program. Set appointments, answer telephone inquiries, and respond to email requests. Assist with continuous telephone coverage for the University Counseling Center. Basic coordination with Title III representatives and student health services. 

The position will also be responsible for maintaining assistive technology software and equipment. Train students on usage of assistive technology. Provide support to students utilizing the Learning Lab. Assist with hiring process and train student workers on assigned tasks. Monitor the schedules of all student workers. Assist in preparing department sponsored activities to include interactive technology usage for program events. REQUIRED QUALIFICATIONS

Must be able to clearly articulate verbally and in writing. Must have considerable knowledge of general office management practices and customer service skills. Demonstrate an ability to handle multiple tasks and deadlines. Demonstrate an ethical ethos to support confidentiality of students and others. Must be proficient in the use of Microsoft Word, Excel, Access, and PowerPoint. Some college experience is required.

College Degree.
