Administrative & Office Specialist II

DUTIES AND RESPONSIBILITIES

Position will provide front line customer service at the Registrar’s Office front desk which receives a high volume of calls and walk-ins from the university community and students; greet visitors; communicate effectively to ascertain information the customer needs; will deliver and transfer messages promptly to staff; will interpret basic office procedures and policies; will maintain a daily log of incoming telephone calls and walk-in visitors; will receive and distribute mail to appropriate staff; will assist with preparation of registration each semester and the Summer; serve as back-up to the office scanner; assist with verifications; will assist the graduate coordinator with the preparation of applications and diplomas; will deliver degree audit reports to all academic departments; and will maintain and update the procedure manual as needed.


REQUIRED QUALIFICATIONS

Must have working knowledge of office practices and procedures to include grammar, punctuation, spelling, and basic math; must have ability to effectively communicate with students, staff, and the public; working knowledge about electronic and paper filing systems; working knowledge and experience using word processing, database management, and email software programs, preferably Microsoft Office Suites; have ability to interpret and follow oral and written instructions; must have ability to collect, assemble, and disseminate information; have ability to interpret policies and procedures; ability to manage multiple priorities in a high pressure work environment; have ability to handle multiple tasks, projects, and activities simultaneously; and have demonstrated customer service experience.

PREFERRED QUALIFICATIONS
A Bachelor’s degree from an accredited institution or related field and/or equivalent combination of education, training, and work experience is preferred; considerable knowledge of university policies and procedures; experience in higher education dealing directly with student records, registration, recruitment, or financial aid; experience working in a first line customer service environment; and experience using Student Banner System and SIS+ is preferred.
