Administrative and Program Specialist III

Virginia State University is an Executive Level Branch agency.  In accordance with Governor Ralph Northam’s mandate, by Article V, Sections 1 and 7 of the Constitution of Virginia, and by §2.2-103 of the Code of Virginia all Executive Branch Employees and state contractors who enter the workplace or who have public-facing work duties must disclose their vaccine status to the designated agency personnel.  Executive Branch Employees who are not fully vaccinated or who refuse to disclose their current vaccine status must undergo weekly COVID-19 testing and disclose weekly the results of those tests to the designated agency personnel. 

Duies and Responsibilities:  

This position will provide administrative and clerical support to the faculty and students in the Department of Social Work to include: front-line receptionist who will greet students and visitors to the department; will produce reports and records; will organize files and coordinate events; will review and articulate transfer credits for students admitted to the BSW program; will represent the department at off-campus open house events; will assist with scheduling classes with the Department Chair and the Registrar’s office; will monitor the departmental budget and facilitate submission of requisitions for supplies, goods, and services; will schedule and coordinate meetings; and budget reconciliation.  The successful candidate will work independently with little supervision; will provide administrative support to the Department Chair; will compose all correspondence; and will manage/fulfill requests for data and information as appropriate   


Aequivalent combination of training, education, and work experience is required to successfully perform the workmust have ability to maintain accurate records in a database; must have project and database management experience; must have demonstrated ability to manage the day-to-day operations of the Department; must have ability to supervise student workers; must have extensive administrative experience; must have the ability to develop, interpret, and implement practices, policies and procedures; must have knowledge and experience using Banner Student Information System or similar student information systemmust have ability to set priorities and have excellent organizational and interpersonal skills; must have ability to meet deadlines in a collaborative team environment; must have ability to work independently with little supervision; must have demonstrated experience using MS Office Suite, e.g., Outlook, Excel and MS Word; and must have experience working with the public.   

Preferred Qualifications:

A Bachelor’s degree is preferred.
