Virginia State University (VSU) seeks applicants for an Executive Assistant/Administrative & Office Specialist III position for the Department of Biology in the College of Natural and Health Sciences. The successful candidate will provide clerical, fiscal, and administrative support to the Department Chairperson and faculty of the department.
Duties and Responsibilities:
Position will provide administrative support to the faculty and students in the Department of Biology to include: front-line reception in greeting students and visitors, photocopying, fax, mailing, maintaining files, producing reports and records; will monitor the departmental budget and facilitate submission of requisitions for purchase; will maintain and update records in Banner (e.g. advisors, course schedules etc.); will schedule and coordinate meetings; will prepare agendas; will record and transcribe minutes of meetings; will work independently to provide administrative support to the Department Chair in composing documents and memos and other forms of office correspondence along with the handling of requests for data and information appropriately; and will perform other duties as assigned.
Must have considerable knowledge and experience with office/administrative practices and procedures; working knowledge of Microsoft Suite (Word, Excel, PowerPoint, Outlook) and database management (e.g. Banner, EMS); must have demonstrated experience to manage day-to-day office operations and supervise student employees; must have demonstrated experience to simultaneously manage multiple assignments with little supervision with independent accountability; must have demonstrated experience providing excellent customer service; must have demonstrated ability to interpret and apply policies and regulations; must have excellent interpersonal, oral and written communication skills; a high school graduate with college course work or equivalent combination of education, training, and experience is required.
A Bachelor's degree is preferred.
