HR Records Coordinator
DUTIES AND RESPONSIBILITIES
Virginia State University’s Office of Human Resources is seeking an HR Records Coordinator. This role will provide exceptional HR service to the university community in support of the university’s goals and vision. This position will be responsible for providing support and general HR administration to the HR department through proper office organization and security of records, and assurance of data integrity. This position receives data from talent acquisition, talent development and management staff for input into HRIS systems, including PMIS and Banner. Assists with filing, placing documents into the correct physical paper file, indexes document into the appropriate shared online HR folder, or scan document into Banner Document Management (BDM). Responsible for purging, shredding and destruction of documents in accordance to state policy, HR and university guidelines. Retrieves and pulls data as requested internally or from vendor for legal compliance and other necessary retrieval. Assist with onboarding incoming student workers. Obtain documents and assist with I9 preparation and collection of data from employees or hiring managers as needed. Assist with responding to request for employment verifications. Strong commitment to Customer Service. Demonstrating teamwork within HR and the University.
A Sign-on Bonus with tenure agreement is included in compensation package *
Considerable office administrative or clerical experience, working knowledge of human resources practices and systems, forms and associated procedures and understanding of the process and workflow of human resources functions and general personnel transactions. Strong time management and organizational skills, accuracy and detail-orientation. Demonstrated ability to assist with developing and implementing Human Resources operational procedures and policies, record and organize human resources data, apply logical sequence to the analysis and resolution of an issue, and consult with employees and management on policy interpretation and compliance matters.
Experience processing data via an HRIS system. Experience in a records management environment is highly preferred and involves FOIA, confidentiality and HIPAA regulations.
