Administrative and Office Specialist II

Virginia State University (VSU) is seeking an Administrative Assistant for the Office of Institutional Effectiveness. The successful candidate will provide clerical, fiscal, and/or administrative and strategic support to the Executive Director and staff of the Office of Institutional Effectiveness.  

DUTIES AND RESPONSIBILITIES 

This position serves as an Administrative Assistant for the Executive Director of Institutional Effectiveness. Provides clerical duties including photocopying, fax, mailing and maintaining files, reports, and records. This position manages and monitors the departmental budget and facilitates the submission of requisitions for purchases.  This position schedules and coordinates meetings, prepares agendas, record and transcribes meeting minutes. The incumbent will serve as a front line receptionist to greet and assist visitors, answer, screen, and direct phone calls. Compose simple documents and memos and other forms of office correspondence.  Handles requests for data and information appropriately.  Performs other duties as assigned. 

REQUIRED QUALIFICATIONS 

Candidate must have a working knowledge of office management procedures, computer applications, equipment, budget management, formulation, analysis and projections: must have working knowledge of executive responsibilities, agency programs, policies and procedures, proper grammar, spelling, and punctuation.  Must have excellent interpersonal and communication skills and be able to read, analyze, and interpret financial policies.  Must have the ability to use internet and other resources to research and gather necessary information to resolve issues and concerns.  Demonstrated ability to provide a variety of administrative support functions; communicate effectively on all levels; interpret policy and prioritize work. 

Preferred QUALIFICATIONS 

Knowledge of Microsoft Office technologies (Word, PowerPoint, Excel, and Outlook) and database management. Demonstrated ability to manage day to day office operations; supervise student employees; complete multiple assignments with independent accountability. Demonstrated skills in providing excellent customer relations and ability to apply policies and regulations. Exhibit excellent interpersonal, oral and written communication skills. High school graduate with college coursework in customer software and office management or equivalent combination of education, training, and experience.
