Administrative & Office Specialist II  

Purpose of Position

The Department of Student Activities and the Office of the Dean of Students, is looking for an Administrative professional to provide administrative support to the Dean Students, and the departments under the Office of the Dean of Students. 

DUTIES AND RESPONSIBILITIES

The position of Administrative Assistant II for the Office of Dean of Students will be responsible for providing administrative support for the Dean of Students; will provide support in developing letters, memorandums, presentations, newsletters, flyers and other materials designed to promote programs under the Office of the dean of Students; will assist with social media to promote program activities and encourage student participation; will develop and assist with the implementation and monitoring of program operational procedures; will serve as a liaison between the Dean of Students and the departmental supervisors and leads; will attend meetings and take minutes as requested; will maintain departmental files and organizational systems; will provide oversight and direction to administrative staff and student workers within the Office of the Dean of Students;  will serve as a frontline personnel, greeting all visitors in a courteous and professional manner, providing information to Administrators, answering and directing telephone calls to perspective parties, and relaying messages and information as needed;  will monitor and approve KRONOS and student timesheets and address discrepancies between time recorded and time worked. The Administrative Assistant II, will serve as an integral part of the Office of the Dean of Students, working to promote and ensure that the goals, policies, procedures, and operations are met. 

REQUIRED QUALIFICATIONS

Extensive knowledge of office procedures and equipment. Demonstrated experience in the use of Microsoft Office Suite programs, to include experience using and maintaining database systems. Excellent customer service skills and strong organizational skills are required.  

Preferred Qualifications

Previous supervisory skill preferred. Event coordination and project management experience is a plus.  Experience and working knowledge of the Ellucian Banner and eVA systems is preferable.
