IT Asset Management

The Information Technology Asset Management (ITAM) Program defines the policies, standards, and guidelines required for the tracking and reporting of Information Technology (IT) assets owned by the University.

We provide oversight for the life cycle of IT assets — from planning through acquisition, management and retirement.  More specifically,

  • Planning – defining supporting processes, setting standards for configuration and retention, aligning purchase plans to business goals, collecting aggregate information on intended purchases, and negotiating volume discounts.
  • Acquire/Procurement – requisitioning, approving requisitions, ordering, receiving, and validating orders.
  • Deployment – tagging assets, entering asset information in a repository, and configuring and installing assets.
  • Maintain:
    • Management – inventory/counting, monitoring usage (some software), managing contracts for maintenance and support, and monitoring age and configuration.

    • Support – adding and changing configurations, repairing devices, and relocating equipment and software.

  • Retire/Disposition – removing assets from service, deleting storage contents, disassembling components for reuse, surplusing equipment, terminating contracts, disposing of equipment, and removing asset from active inventory.

Purpose

The Virginia State University Technology Services shall have an IT asset management program that achieves both the enterprise and departmental strategic and business goals.   ITAM will provide the University management with enhanced abilities to:

  • Make informed IT planning, procurement, and investment decisions;
  • Calculate IT asset value and understand the total cost of ownership (TCO) of those assets;
  • Manage the acquisition and maintenance of key asset types, including hardware, software, business systems, and data;
  • Optimize software license usage and comply with software license requirements;
  • Manage hardware and software maintenance contracts;
  • Manage leased assets;
  • Monitor compliance with IT standards;
  • Plan for technology migration projects;
  • Allocate support resources efficiently and effectively;
  • Protect and secure IT assets;
  • Provide timely and accurate financial reports; and
  • Ensure adequate insurance coverage, business continuity, and recovery plans exist.

Policies

Each individual is accountable for completing the appropriate FAACs form before equipment surplus, relocation/reassignment and/or being compelled to transport equipment off campus.
