"SECURE IT: It's your responsibility!" is a mandatory web-based Information Technology (IT) Security Awareness Training. The purpose of the on-going security awareness training is to ensure that all IT system users are educated on identifying IT security risks/threats and how to respond to them.
 

All employees, contractors, and students will be required to complete the annual online Security Awareness training course. Each employee will also be required to sign the “IT Acceptable Use & User Acknowledgement Agreement” and provide a copy of the agreement and the course certificate to his/her manager and the Office of Human Resources for your personnel file.

 

 ♣ HOW DO I ACCESS THE TRAINING ?

♣ WHO HAS TO TAKE THE TRAINING?

 
All University employees, vendors, contractors, students are required to complete this mandatory training within 30 days after receiving the registration email. New hires are required to take it in their first 30 days of employment. This includes employees who have access to a University computer, IT system and data, or an e-mail address where information resources reside. 

 

 ♣ WHAT’S THE TRAINING ABOUT? 

 
The training will take approximately 1 hour to complete. It is designed to provide IT system users with updated information on security best practices. Upon completion of the training, IT system users will be aware of protecting IT systems and data, concept of separation of duties, preventing and detecting IT security incidents, acceptable user policies, use of encryption, creating and changing passwords, intellectual property rights including software licensing and copyright issues, and disposal of data storage media.   All employees, students, and contractors will receive their registration emails and course certificates from the IT Security Awareness Training email account, SECUREIT@vsu.edu.
 
 
Key Points About This Training:
  • The training will take approximately one hour to complete.
  • You may logout at any time during the content portion of the course and login again where you left off at a later time.
  • Once you have reached the exam portion of the course, log out only after completing the exam.
  • Logging out during the exam or allowing the session to sit for twenty minutes of inactivity will result in one failed attempt.
 

   ♣ WHY DO I HAVE TO COMPLETE THIS TRAINING?

 
VSU is required to comply with Virginia Information Technology Agency (VITA) IT Security Standard (ITRM Policy SEC 501-01) related to IT Security Awareness and Training. All IT system users are required to receive IT security awareness training annually, or more often as necessary.

 

  ♣ HOW WILL NEW EMPLOYEES BE NOTIFIED TO COMPLETE THE TRAINING?

 
For new employees, an e-mail message will be sent to you stating that it’s time for you to take the training. You will receive the notice within 30 days of hire.
 
If you have completed the training, you will receive an e-mail message prior to the expiration date of your original certification. “Here’s an example: If you completed the training last year, during October 2007, then you will receive your notice to take the training in September 2008.”

 

 ♣ WHO NEEDS A COPY OF THE TRAINING CERTIFICATE? 

 
Employees: All employees will be required to provide copies of the course certificates to their managers and the Office of Human Resources.
 
Vendors: All contractors should provide a copy of the training certificate to your contact administrator. Follett Book Store, VT Griffin, and Thompson Hospitality contractors should provide a copy of the Certificate to the Assistant to the Vice President of Administration and Finance. SunGard Higher Education (known as OUT) contractors should provide a copy of the certificates to Chief Information Officer.
 
Students: Students should provide a copy of his/her certificate to the Student Help Desk.

 

 ♣ WHAT HAPPENS IF I DON’T COMPLETE THE TRAINING WITHIN THE 30-DAY WINDOW?  

 
Since this is a statewide mandate, we are encouraging all employees, contractors, and students to successfully complete the IT security awareness training program within the 30 day window. We will be providing management with progress reports for their offices. (If IT Security Awareness Training program is not completed in 30 days, your access to the VSU network will be revoked.) You will have to complete the training program and provide a copy of the certificate to your manager and the Training Consultant. Your access will be restored to the VSU Network once you have completed these requirements.
 

 

♣ WHO DO I CONTACT IF I HAVE TROUBLE COMPLETING MY TRAINING?

♣ WILL THIS TRAINING BE DOCUMENTED?  

 
Yes, we will maintain training rosters and record of courses completed. We will also provide your manager with completion and status reports.  
 

♣ CAN I TAKE THIS TRAINING IN A CLASSROOM OR USE ANOTHER METHOD?   

 
No, on-line training is the only method. However, the Training Consultant will publish training sessions for individuals who want to learn how to use the security awareness training program in the computer lab. If you do not have a computer, you can use the computer lab to complete the training.
